Overview

This article will show you how to download the Limelight app, log-in, and use the app both in online and offline mode. It's important to all stakeholders who are managing iPad devices or collecting data. 

There are currently 2 general categories of apps (Data Capture and Check-In App) with overlapping functionality:

  • All Apps have overlapping functionality including: data capture, waivers, license scanning, and photo booth.
  • Check-in App populates pre-registered guests into app to check-in and collected additional optional information. 


Download and Log-in

1. Download the app by following the App Download instructions

2. Log-in to the Limelight App

3. Once in, you'll be taken to the Event Selection / Home Screen, where you can select your event

*Limelight is an offline-first application: the iPad will be downloading and processing data for the entire event but this does NOT mean that data will be uploaded when it's offline nor will it sync. 



Home Screen

Below are the key elements of the home screen:


  1. Program: By clicking on the down arrow, you'll be able to see all home screen assets associated with the program
  2. Event: By clicking on the event, you'll be taken to the app (Data capture or check-in)
  3. Settings: By clicking on settings you'll be able to configure elements such as drivers license scanning, age gating, screensavers and more
  4. Info: Displays the Limelight App version and your login (E-mail)
  5. Sync:
    What is Syncing?
    When clicked, it sends the data from the iPad to the Limelight database and vice versa. The iPads should always be synced at the beginning and end of the day.

    Syncing while online:
    If you have connectivity (wi-fi, hotspot, or data), the app will sync automatically.

    Syncing while offline:
    You are able to use the app and can collect data offline. Before logging out, you must get connectivity and then click the main Sync button on the Event Selection screen to make sure all the data transfers back to the Limelight database. The data is not saved in the iPad if you log out. 
  6. Logout: Logs you out - make sure you're synced before doing this



Returning To The Home Screen

Option 1:

Swipe your finger along the iPad from left to right. The Exit Mode pop up window will prompt a password entry. 

*The password is the same one used to login to the App.



Option 2:
  1. Double click the Home button on the iPad and quit the app (swipe the app icon up).
  2. Go back to the Limelight app on your iPad and open it.  This will open the home screen


Important Reminder: Once you exit the project, sync the iPad, or you will lose all your data.
Recommended: Sync as much as possible. This transfers data from the device to the database. There must be wi-fi or gsm connectivity to sync.





Switching Between Projects

  1. Click Reset to get back to the home app screen.
  2. Swipe your finger from left to right on the iPad, enter your password into the pop up.
  3. On the main project screen, select the project you want


TIPS

  • Internet connection is required to login and sync data
  • If you are logged in and the internet is lost, you can continue to use the app but DO NOT log out of the app until the internet connection has been restored.  Once you go back online, the app will sync within seconds, automatically.


Reset button

  1. On the top right of your app there is a "Reset" button. This clears the data on the screen
  2. Current data on screen will NOT be submitted
  3. There is no impact on previously submitted data
  4. It takes you back to home screen


App DO's AND DON'Ts

DO's

  • DO update the iPad software
  • DO update the Limelight app
  • DO sync the app as much as possible while gathering data and before wrapping up
  • DO sync the app everytime before logging out


DON'Ts

  • DON'T delete the app from the iPad
    • Data captured on the app will be permanently deleted on the device if the app is deleted
  • DON'T log out without syncing
    • if your event is without internet/wifi, make sure you connect and sync before you wrap up


iPad Best Practices

  1. Disabling auto-lock & adjusting brightness
    1. Instructions:
      1. Settings > General > Display and Brightness > Set Auto-Lock to Never
      2. Toggle for Lock/unlock is NOT on
    2. Adjust brightness to the desired level.
  2. Disabling notifications
    1. Prevents unwanted info from popping on screen
    2. Instructions:
      1. Settings > Notifications > Display and Brightness > Set Show Previews to Never
      2. Click into all notification style apps and set to OFF.
  3. Enable Guided Access
    1. Disables the ability for users to access other applications
    2. Instructions:
      1. Settings > General > Accessibility > Toggle "Guided Access" so that it's green
      2. Go to the app, select the project you wish to use
        1. Once you're on the homepage > Triple click the home button > enter your iPad passcode
    3. To turn back off:
      1. Triple click the home button > Enter iPad passcode > Look to the top right and press END.
  4. Disable autocorrect (recommended)
    1. Settings > General > Keyboards > Turn off Auto-Correction (grey).
  5. Have access to the iPad passcodes and the Apple ID logins (or the contact information of the person with this information in case the app needs to be downloaded again from the app store) and passwords for each device in case it will be needed.
  6. Keep the iPads connected to a power source and use the Apple 29W USB‑C Power Adapter


Overview & Recap

  • Install latest version of app
  • Enable guided access
  • Disable notifications
  • Make sure you hit "Submit" at the very end of the journey, else the data won't be entered
  • Sync as much as possible, especially after gathering data
  • Sync before you wrap up/log out, else you will lose all your data
  • Have staff members, who will be utilizing the app and its functions, access to the iPad login along with the iPad passcode OR have the contact info of the person who has authorizations as this is very important to have in case the app needs to be reinstalled
